Job Summary
The Site Operations Coordinator provides essential administrative and operational support to ensure the smooth and efficient functioning of the Distribution Center. This role supports both office and floor operations through strong organization, attention to detail, and proactive problem-solving. Key components of the role include coordinating administrative processes, supporting safety and environmental programs, assisting with facility logistics, and serving as a main point of contact between operations, leadership, and corporate functions. This position requires strong communication skills, agility in a dynamic environment, a commitment to self-development, and a dedication to customer focus.
Responsibilities
Safety & Environmental Support
- Support site safety initiatives, including tracking incident reports, training completion, and safety observations.
- Help ensure compliance with environmental standards by maintaining documentation (MSDS sheets, recycling logs, waste management records, etc.).
- Assist in coordinating safety meetings, binders, audits, and emergency preparedness activities.
- Promote a culture of safety and accountability by reinforcing safe behaviors and maintaining visibility of key safety communications.
Operations Support
- Provide direct support to DC leadership in tracking and communicating daily performance metrics (UPH, service %, quality, safety, etc.).
- Serve as a communication hub for daily operations updates, notices, and key announcements
- Assist in updating visual management boards, dashboards, and reports.
- Utilize a strong customer focus when supporting DC leadership and floor associates, ensuring administrative tasks directly facilitate smooth and efficient daily operations.
- Support the coordination of inbound shipment schedules, truck gate operation, visitors or special projects as assigned.
- Help maintain compliance with standard operating procedures by ensuring documents and postings are current and accessible.
Facility & Logistics Support
- Coordinate office and breakroom logistics including supplies, maintenance requests, and vendor services (cleaning, vending, waste, etc.).
- Manage visitor and contractor entry procedures to ensure full compliance with site safety and regulatory standards. This includes verifying the identification of all visitors, issuing badges when necessary, and ensuring proper footwear is worn when working on behalf of the site.
- Assist with space planning, equipment moves, and facility projects to maintain a clean, efficient, and safe environment.
Administrative & Office Support
- Manage daily administrative tasks including correspondence, document control, scheduling, and reporting.
- Maintain organized records for training, performance, and safety documentation.
- Prepare presentations, reports, and meeting materials for site leadership.
- Support timekeeping verification and basic documentation as needed.
- Coordinate on-site meetings and events, including room setup, supplies, and communication.
- Actively pursue self-development skills to enhance proficiency in Microsoft Office Suite, WMS, and other relevant systems, improving overall administrative efficiency.
Culture & Engagement
- Aid in the execution of employee engagement initiatives, celebratory functions, and community service projects.
- Support communication efforts such as posting newsletters, recognition boards, and key performance updates.
- Serve as a positive, professional presence within the DC — approachable, resourceful, and dependable.
Qualifications
- 2–4 years of experience in administrative or operations support, preferably within a distribution, logistics, or manufacturing environment.
- Strong organizational skills with the ability to manage multiple priorities in a fast-paced setting.
- Excellent communication and interpersonal skills.
- Proficient in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook) and comfortable with WMS or ERP systems.
- High level of integrity, confidentiality, and professionalism.
- Ability to work independently and as part of a cross-functional team, adapting quickly (agility) to changing business needs.

Physical Demands / Working Environment
- Lifting and Carrying: Ability to lift and carry objects of varying weights, 60 lbs. pounds or more, depending on job duties.
- Pushing and Pulling: Capability to push and pull carts, pallet jacks, or other equipment loaded with materials throughout the warehouse. This may involve pushing or pulling heavy loads over extended distances or up ramps.
- Standing and Walking: Ability to stand and walk for extended periods, often for the duration of a shift. Warehouse employees need to be able to move around the warehouse facility to pick orders, stock shelves, or perform other tasks.
- Bending and Stooping: Capacity to bend, stoop, squat, and reach to retrieve items from shelves, bins, or storage racks. Employees need the ability to access items throughout the warehouse at various heights and angles.
- Climbing: Can climb ladders or stairs to access elevated storage areas or perform maintenance tasks. Warehouse employees need to have the capacity to work at heights to include open floor mezzanines and follow safety protocols for ladder use.
- Operating Equipment: Proficiency in operating warehouse equipment such as forklifts, pallet jacks, and order pickers. Depending on the job role, employees must pass certification or training programs to operate certain equipment safely.
- Manual Dexterity: Ability to use hands and fingers to handle small objects, operate machinery controls, and perform tasks requiring precision and accuracy. This may include picking and packing items, labeling products, or assembling shipments.
- Repetitive Motion: Ability to perform repetitive tasks, such as scanning barcodes, sorting items, or packaging products, throughout the shift. Employees should be able to maintain productivity while performing repetitive motions safely.
- Physical Endurance: Stamina and endurance to work in a fast-paced environment and meet productivity targets. Warehouse employees need to have the capacity to work long hours, weekends, or overtime during peak periods.
- Safety Awareness: Commitment to following safety protocols and guidelines to prevent workplace accidents and injuries. Employees should be vigilant about potential hazards in the warehouse environment and take appropriate precautions to ensure their safety and the safety of others.
